Operations Nation is a community-powered knowledge hub for operations leaders.

❓ What is this notice all about?

We want to be completely transparent about how we collect and use your personal data and this privacy notice exists to tell you exactly how we do this.

This notice applies wherever we decide why and how we process personal data (and therefore act as a Data Controller under data protection law). It covers the personal data we process when you use our services.

Our privacy notice tells you the journey of your personal data from the moment it enters our systems up until it's time for us to say "goodbye 👋", as well as the various stops it makes along the way.

When you apply for a job with us
🗂️ What personal data do we collect, why do we collect it, and what legal basis do we rely on?

Personal data is anything that can identify an individual, either on its own or through combining it with other factors that could eventually identify an individual.

When you apply for a job with us, we will ask you to provide some information about yourself in order to manage your recruitment process, such as your name, CV, email address, phone number, interview notes and references from previous employers. The legal grounds we rely on for this processing are Article 6(1)(f) of the GDPR - Legitimate Interests.

🗺️ Where do we store it?

We make use of a cloud-based Human Resources platform to store recruitment data.

Where a cloud-based application is headquartered outside the EEA or countries deemed ‘adequate’ by the EU or UK, for the transfer of data it has incorporated EU Commission approved Standard Contractual Clauses (SCCs) in their contracts along with the UK Addendum where applicable.

⏲️ How long do we keep it for?

We will keep your details on file for 12 months unless you ask us not to.

When you subscribe to the Operations Nation newsletter, we'll need some information from you, your email address and your name. We may also track the use of our community platform so we can make improvements. For all this processing we rely on Article 6(1)(f) of the GDPR - Legitimate Interests.

We will retain newsletter lists only while participants agree to their data use; participants can unsubscribe at any time.

When you join the Operations Nation community

When you join the Operations Nation community, we'll need some information from you, such as your name, contact details, location, job title, company details and current role, interests, LinkedIn url, and sometimes a profile photo. We may also track the use of our community platform so we can make improvements. For all this processing we rely on Article 6(1)(f) of the GDPR - Legitimate Interests.

🗺️ Where do we store it?

We use cloud-based applications that may make use of your email address for communication and collaboration. These include video meeting systems, messaging platforms and similar shared user interfaces. We also make use of a reporting and analytics application.

We may also keep some data on administrative systems such as spreadsheets and forms.

Where any of these cloud-based applications are headquartered outside the EEA or countries deemed ‘adequate’ by the EU or UK, EU Commission approved Standard Contractual Clauses (SCCs) for the transfer of data are incorporated in their contracts along with the UK Addendum where applicable.

We will retain your data for as long as you are part of our community, and for a short period afterwards.

When you attend one of our events

Personal data is anything that can identify an individual, either on its own or through combining it with other factors that could eventually identify an individual.

When you join one of our events, we will ask you to provide some information about yourself, such as your name, contact details, company name, job title, interests and expectations, and payment details. We will rely on Article 6(1)(b) of the GDPR - Contractual Obligation and Article 6(1)(f) of the GDPR - Legitimate Interest for this processing. We may send feedback surveys and emails with information about new events that we think will interest you. We rely on Article 6(1)(a) of the GDPR - Consent for this processing.

🗺️ Where do we store it?

We may use an email provider to contact you with relevant details, and a video meeting system and event management platforms to deliver the event.

We provide various payment options and partner with payment platforms for this purpose. All data is processed strictly within applicable data protection law.

We will record events and may upload sections to social media platforms.

⏲️ How long do we keep it for?

We will retain your event attendance data for 2 years in line with our business needs.

When you take part in a survey

Personal data is anything that can identify an individual, either on its own or through combining it with other factors that could eventually identify an individual.

When you take part in a survey, we will collect some information about you, such as your name, email address, company name, gender, ethnicity and sometimes your salary for the purpose of compensation benchmarking surveys, along with your opinion based survey responses. For the processing, we rely on UK GDPR Article 6(1)(a) - Consent as well as Article 9(a) Explicit Consent condition.

🗺️ Where do we store it?

We will collect data using a cloud based application and may make use of a cloud collaboration service or similar shared user interface. Anonymised surveys may be published on our website.

You have the right to ask a business to disclose what personal data they have collected, used, shared or sold about you and why it was collected, used, shared or sold. You have the right to this information for the 12 month period preceding your request. The data should be provided in a portable format.

You have the right to ask a business to stop selling your personal information (”opt-out”). With some exceptions, a business cannot sell your personal information if they receive an opt-out request unless you provide authorisation allowing them to again.

If you are a California resident and have an established business relationship with us, you can request a notice disclosing the categories of personal information we have shared with third parties for the third parties’ direct marketing purposes during the preceding calendar year. To request a notice, please submit your request to: DPO@spoke-london.com Please include in your email "Request for California Shine the Light Opt-Out" in the subject line and in the body of your message. Please allow 30 days for a response.

You don't have to pay anything in order to exercise your rights. Please contact us by sending an email to privacy@operationsnation.com if you wish to make a request under your rights; we have a 45 days to get back to you with a response.
